Hot Desking with 3CX Phone System

Introduction

A useful feature of 3CX Phone System 10 is hot desking. This means the ability to share one desk between several people who use the desk at different times, or work from various locations. Yealink phones are able to perform hot desking with 3CX Phone System.

Supported Yealink phone models are the T26 and T28. Hot desking has been tested with firmware version 6.60.23.14, which can be downloaded from here.

Preparing the Phone

Before we can set up hot desking, we need to provision the device by PNP Provisioning from the 3CX Phone System Management Console. You can find step by step instructions on this process here.

Once you have the device provisioned, we can proceed to set up the hot desking feature.

Setting up Hot Desking

  1. Log into the devices web administration console by opening a browser window and typing in the device IP Address into your browser.
  2. Go into the ‘Phone’ Tab and press the ‘DSS Key’ option.
  3. Assign any of the DSS Keys for hot desking from the drop down list.
  4. Press ‘Confirm’ when done.

Using the Hot Desking Feature

Now that you have setup your DSS Key for the hot desking feature, let’s see it in action.

  • From the Phone’s display press the DSS Key you selected for hot desking.
  • The screen will display a warning, ‘Clear all account config?’ Press ‘OK’.

  • You will be prompted to enter your extension number.

  • Press the down arrow key to switch to the Password field. Enter the Authentication Password for your extension. NOTE: Your password should still be set to a strong password to prevent hacking.

  • After the Extension Number and Password have been entered, press ‘Save’.
  • The phone will save your configuration and will register to 3CX Phone System.

This feature will allow users to switch extensions on their phone quickly and easily for situations where a common desk might be used for multiple users on different shifts.

NOTE: When using the hot desking feature, any configured BLF keys will remain the same as they were when the phone was initially provisioned. Each phone must be provisioned with a common set of BLF keys.
